Department Roles & Their Value in the Supply Chain

This project focuses on three key departments: marketing, sales, and purchasing. These departments will contribute significantly to the success of the project and ensure a seamless transition to the desired future state with minimal delays. By working collaboratively, these departments will enable Mainland Tools to meet its proposed schedule. This analysis examines both the internal and external roles of these departments and how their functions enhance the supply chain.

Marketing

Internally, the marketing department communicates the corporate message, fostering employee engagement. This communication involves explaining upcoming products by covering key details such as what the product is, why customers need it, and how it will be marketed. Ensuring transparency helps employees understand how their efforts contribute to the company’s overall goals. The insights provided by marketing flow to other departments, such as sales and purchasing. Sales teams will know which products to focus on, and the purchasing team will understand what to source and when. Externally, marketing plays a role in shaping customer perceptions and influencing their purchasing decisions. By promoting new products and highlighting their benefits, marketing educates customers on how these products add value to their organizations. For instance, Coca-Cola’s advertising not only showcases its product but also conveys the broader value of the company.

Sales

Sales associates are the face of the company, building and maintaining relationships with customers. They elaborate on the marketing department’s messages, contributing to the company’s cash flow and business growth (Hawkins, 2016). Their responsibilities include converting prospects into customers and retaining existing business (fiveCRM, n.d.). Internally, the sales team provides feedback on the effectiveness of marketing strategies and product offerings. They forecast future orders and collaborate with the operations department to ensure the availability of necessary materials and logistical support, thereby offering the best service to customers.

Purchasing

The purchasing department is responsible for sourcing the materials needed for production at the most cost-effective prices while ensuring timely delivery and maintaining quality standards. Purchasing, like sales, relies on developing strong vendor relationships to build a reliable supply network. This department assesses supplier performance, provides feedback, and promotes continuous improvement across the supply chain. Through collaboration with marketing and sales, purchasing can order materials that are expected to see high demand when new products are launched. Additionally, purchasing communicates any potential delays to the sales team, which can then inform customers accordingly.

Forecasting Models

Forecasting models are typically divided into two categories: qualitative and quantitative. Qualitative forecasting is used when data is scarce and relies on judgmental evaluation, while quantitative forecasting relies on historical data (NC State University, 2011). Effective forecasting allows organizations to adapt to customer needs without frequent structural changes. Accurate production and inventory control forecasts reduce safety stocks and generate significant cost savings (Chambers, 1971). For Mainland Tools, a combination of the Sales Force Composite method and the Time Series Model is recommended. This dual approach provides comprehensive data, enabling better decision-making and planning.

The Sales Force Composite method involves gathering information from the sales team, which acts as a bridge between internal operations and market responses. This method helps gauge customer purchase intentions (Subramaniam, 2009). The Time Series Model examines trends, seasonal variations, and cyclical factors influencing customer demand (Subramaniam, 2009). These insights help the company plan ahead, ensuring the timely availability of materials and improving customer satisfaction.

Forecasting & Decision-Making: Advantages of Increased Collaboration

Combining qualitative and quantitative forecasting methods improves decision-making by providing a more comprehensive view of the supply chain. This approach helps management understand how various actions impact different departments and anticipate potential consequences. Improved collaboration between departments leads to better information sharing and increases the accuracy of data. When departments work together, the entire supply chain benefits from smoother operations and higher efficiency. As mentioned in Assessment 3, a holistic view of the organization is essential to fully understand the ripple effects of decisions throughout the supply chain.

For example, if the sales composite forecast suggests that customer interest in a new product is low, despite marketing efforts, Mainland Tools may need to adjust its production and purchasing strategies. On the other hand, if demand exceeds expectations, adjustments must be made to accommodate the additional orders.

Collaboration Tools

Currently, Thompson Tools uses Microsoft Office Suite, but a new collaboration tool is needed to enhance teamwork across its various branches. The chosen tool must be able to integrate with existing tools and enable communication with Mainland Tools in China.

SharePoint

SharePoint is a suitable option for organizations familiar with Microsoft Office. It facilitates document storage, easy access, and collaboration among team members, with flexible authorization levels for editing or viewing documents (Professional Advantage PTY Ltd., 2014). Multiple users can work on the same file simultaneously, and SharePoint also features instant messaging. However, its interface can be somewhat cumbersome, and security concerns exist due to local network access. The platform costs between $5 and $20 per month per user, or it is available as part of the Office365 package for $99.99 annually (Professional Advantage PTY Ltd., 2014).

Planner

Microsoft Planner is designed for task management and includes tools for creating, assigning, and tracking tasks (Keep Productive, 2019). It provides visual progress charts and status updates to help employees stay on track, while management can easily identify bottlenecks. Planner’s modern interface and real-time information sharing create a dynamic working environment. Although more training is required compared to SharePoint, its intuitive design makes it a valuable investment. Planner is also available through Office365 for $99.99 per year, or $8.33 per month.

Teams

Microsoft Teams is a tool that enhances team communication, focusing on the creation and management of different teams (Learnit Training, 2019). It combines elements of both SharePoint and Planner while offering social features like gifs and emojis to foster a collaborative work culture. Teams costs $99.99 per user annually and integrates well with other Microsoft products to create a comprehensive collaboration environment. However, it may lack some of the advanced functionalities desired in a full-fledged collaboration platform (Zelfond, 2019).

Ethical & Legal Implications of Collaboration Tools

When using collaboration tools, especially in international contexts like China, safeguarding intellectual property becomes a priority. Collaboration tools must include multi-factor authentication, encryption, and strong authorization measures to ensure data security (Kennedy & Mighell, 2018). Confidential information such as non-disclosure agreements and contract negotiations must be protected against potential breaches.

Conclusion

Effective collaboration between departments within an organization and its supply chain is essential for its success. By understanding each department’s roles and responsibilities, employees can see how their efforts contribute to broader company objectives. Collaboration tools like SharePoint and Planner can significantly improve communication and the flow of information, enhancing efficiency across all departments. The goal is to use these improvements to boost sales and profitability while reducing unnecessary effort. As the saying goes, “teamwork makes the dream work.”
